The amount of information depends on the project stage. An initial enquiry normally needs only contact details and a short description. A corporate or banking project requires more information because providers need to identify the client and understand the commercial purpose of the structure.

  • Identity information: passport, date of birth, citizenship, residential address and proof of address.
  • Corporate data: company, directors, shareholders, UBOs, ownership structure and corporate documents.
  • Business data: activity, website, counterparties, markets, currencies, turnover, contracts and invoices.
  • KYC financial data: source of wealth, source of funds and supporting bank or business records.
  • Payment data: invoice, payer, currency and payment method. Full card details are normally processed by the payment provider rather than by the O-X website.

3. How information is used

Contact data is used to answer your enquiry and prepare a commercial proposal. Corporate and KYC information is used to register or acquire a company, verify ownership, prepare documents and present the client to a bank, EMI or other professional provider.

Information may also be used for invoicing, payment reconciliation, ongoing company administration, registry updates, renewals, annual filing and other work requested by the client. Where relevant, it supports anti-fraud checks, legal restrictions, sanctions screening and due diligence.

4. Who may receive project information

International corporate projects normally involve several professional participants. We aim to share only information relevant to the specific task. Recipients may include registered agents, banks, EMIs, payment institutions, acquiring providers, notaries, translators, accountants, auditors, lawyers, public registries and technical service providers supporting the website, email or file exchange.

O-X does not sell client databases or disclose personal information for unrelated third-party marketing.

5. Security and retention

We use measures proportionate to the sensitivity of the information, including access controls, work accounts, controlled file sharing and limiting access to the people and providers involved in the project. KYC documents receive particular attention because of their sensitivity.

Information is retained for as long as required for the project, ongoing administration, accounting, professional obligations and resolution of questions about services. When the business or legal need ends, data may be deleted, anonymised or archived with restricted access.
